Bookkeeper/Data Management Coordinator

Responsible to: Executive Director

Goal of Position:

This position supports the Faith in Action for Cass County mission of service to people in need, by fulfilling responsibilities related to office finances and data management, as delegated by the Executive Director, Treasurer and Board of Directors. In addition, this position is responsible for contributing ideas for program improvement and donor development.

Duties and Responsibilities:

  • Responsible for organizational accountabilities that include data entry/management activities including interfacing with a database management program.
  • Clerical duties including word processing, spreadsheets, data entry, phones, email, fax.
  • Maintain care receiver records, input registration and updated information in database.
  • Make bank deposits, manage checkbooks, complete monthly bank statement reconciliation; record all expenses and income, using QuickBooks Online, including receipting and allocations.
  • Pay bills including volunteer mileage, rent, phone, internet, etc., with approval of the director.
  • Acknowledging donors and program contributors; draft monthly giving paragraph.
  • Work with the Fundraising Committee regarding event finances such as processing and tracking raffle ticket distribution and sales.
  • Develop, update and document procedures and processes for the duties of a bookkeeper/data management position for Faith in Action for Cass County.
  • Other duties, including reporting, data analysis, etc. as assigned by the Executive Director or Board of Directors.

Hours:

This position is a permanent, full-time, 40+ hours per week, on-site to be scheduled in the FIA Office located in Hackensack, MN during open office hours (8 am to 4:30 pm Monday through Friday). The employee will schedule regular hours to meet the needs of the program and will keep a record of daily hours. Occasional evening/weekend work to support program/events.

Training:

Training for the bookkeeper/data management responsibilities will be provided on-the-job, as needed by the Executive Director, Treasurer or Board Members. External training opportunities may be provided in the interest of employee development.

Qualifications:

  • Compassion and understanding to meet the needs of persons we serve.
  • Excellent verbal and written communication skills, and customer service skills.
  • Computer experience required including Word, Excel, Power Point and Outlook, with a preference for QuickBooks Online and data entry/data management software experiences.
  • Experience in bookkeeping and other financial/accounting activities, to include reconciliation of all business transactions, i.e., invoicing & payments, payroll records, supplier invoices.
  • Experience in schedule management including managing multiple activities simultaneously.
  • Ability to work cooperatively in a small team environment and the ability to work unsupervised.

THE IDEAL CANDIDATE

The ideal candidate is experienced in nonprofit bookkeeping, grant writing and management and charitable accounting practices and data entry/data management and analysis.  A bachelor’s degree is preferable, but an associate degree or equivalent years of bookkeeping and accounting experience is acceptable.               

COMPENSATION

  • Hourly wage compensation $23.00-$26.00/hour.
  • Benefits include paid time off (PTO) policy, holidays, and flexible work schedule.
  • Pay will be based on your skills and experience within the pay range identified above.
