Volunteer Coordinator Position Description
Responsible to: Executive Director
Hours:
This position is a permanent, full-time, 40+ hours per week, on-site in the FIA Office located in Hackensack, MN during open office hours 8 am to 4:30 pm M-F (with travel throughout Cass County). Occasional evening/weekend work to support program/events.
Position Summary
This position is responsible for managing, strengthening, and growing our volunteer-driven programs that serve seniors and caregivers throughout Cass County. This position is based in Hackensack, MN.
In addition, this position has a team member role to actively and constructively participate in program development and donor relations.
Volunteers are the foundation of Faith in Action for Cass County’s work. The Volunteer Coordinator plays a vital role in recruiting, training, scheduling, and supporting a dedicated team of volunteers to provide essential client services—from transportation and errands to friendly visits and home support—that help our neighbors age in place with dignity.
Key Responsibilities
Volunteer Recruitment & Engagement
- Develop and implement outreach strategies to recruit volunteers through churches, community groups, events, social media, and word of mouth.
- Represent Faith in Action for Cass County at local fairs, service clubs, and outreach events to promote volunteer opportunities.
- Build relationships with community partners and stakeholders to expand volunteer pipelines.
Training & Support
- Lead orientations and provide ongoing training for volunteers.
- Ensure volunteers understand their roles, responsibilities, and how to serve with safety and empathy.
- Offer regular check-ins and support to foster a connected and positive volunteer experience.
Volunteer Management: Intake, Scheduling & Coordination
- Maintain regular communication with volunteers to ensure their satisfaction and update volunteer records as needed.
- Conduct thorough initial volunteer assessments including background checks, and follow-ups to determine eligibility and appropriateness for the work.
- Resolve issues and conflicts with volunteers who do not follow appropriate FIACC protocols as outlined in the training materials and volunteer handbooks, escalating to the Executive Director when necessary.
- Coordinate with Client Services Coordinator to maintain accurate volunteer schedules and track volunteer delivery of those services.
- Enter and update data on all volunteer demographics, interests, and service activities in the volunteer management system.
- Use scheduling software and internal systems to manage volunteer communications.
Volunteer Appreciation & Retention
- Coordinate recognition events, thank-you efforts, and volunteer milestones.
- Cultivate a culture of appreciation and community among the volunteer base.
- Encourage ongoing engagement and leadership among experienced volunteers.
Administration
- Maintain complete and accurate records of volunteer hours, demographics, and activities.
Program Support
- Generate regular reports for staff, board members, and funders as needed.
- Analyze data to identify trends, gaps, and areas for program improvement.
- Work collaboratively with staff to evaluate and strengthen the volunteer program to meet evolving community needs, to include speaking to Aging Resource needs and/or Dementia issues.
- Participate in Community Outreach activities that support the mission and objectives of the organization (ex. National Night Out, Memory Café, etc.).
- Actively support the Volunteer Committee by attending as a member of the committee.
- With the direction of the Executive Director, design and maintain the Faith in Action website.
- Assist the Fundraising Committee with fundraising events as requested.
- Responsible for client data management involving completion and recording of in-home new client assessments and annual reassessments.
Qualifications
- Strong interpersonal and communication skills, with a welcoming and encouraging approach.
- Excellent organizational skills and attention to detail.
- Proficient in the use of computers required including Word, Excel, PowerPoint and Outlook with preference to previous experience in volunteer coordination, community outreach, human services, or nonprofit work preferred.
- Proficient with technology, including Microsoft Office and volunteer scheduling/data platforms.
- Ability to work independently with minimal supervision in a close-knit small team environment.
- Flexibility to attend occasional evening or weekend events for program support.
- Associate’s degree in a related field or equivalent relevant experience with non-profits desired.
- Senior Care Certifications and/or Training, required by our grants when conducting audits, is strongly preferred. There can be a grace period of 6 to 12 months to achieve such certifications during the first year of employment.
- Valid driver's license and reliable transportation required.

COMPENSATION
- Hourly wage compensation $24.00-$27.00/hour.
- Benefits include paid time off (PTO) policy, holidays, and flexible work schedule.
- Pay will be based on your skills and experience within the pay range identified above.
